Managing Sites

Sites are the participating centres in a study. Every uploader and CRA is assigned to one or more sites, and every subject and upload belongs to a site — so create a study's sites before you invite the people who work at them.

Where: Settings → Sites Who: Admins only.

Sites are live study data, not study configuration, so you can manage them at any time — including in production.

Create a site

  1. Go to Settings → Sites and click Create Site.
  2. Leave Creation Mode on Individual and fill in:
    • Site Name — the centre's name, as your team will recognise it (for example Mercy General Hospital). You can change it later.
    • Site ID — the site number used on the protocol (for example 101). Letters, numbers, -, _ and . only. The Site ID cannot be changed after creation, so check it against the protocol's site list.
  3. Click Create Site. You'll see Site created, and the site appears in the table.

Next, invite the site's users and assign them to it.

Create several sites at once

Switch Creation Mode to Bulk and enter one site per line in the Site Info box, as Site ID, Site Name:

101, Mercy General Hospital
102, St. Luke's Medical Center
201, University Hospital Zurich

Click Create Site to add them all in one go.

Rename a site

Either click the site's name in the Site Name column and edit it in place, or open the ⋮ menu and choose Edit Site Name. The Site ID stays the same, so the site's users, subjects and uploads are unaffected — only the name shown across the portal changes.

Deactivate a site

Open the ⋮ menu and choose Deactivate, then confirm.

The site is removed from the study's site list and can no longer be chosen for new subjects, uploads or user assignments. Subjects and uploads already recorded against it are not deleted. This cannot be undone from the portal — if you deactivated a site by mistake, contact Brainstorme support before creating it again.

caution

Deactivate only sites that should never receive data again. To correct a typo in a site's name, rename it instead.

See a site's details

The table shows each site's Site ID, Site Name, Status and Date Created. Use ⋮ → View More for the full record. Every column can be searched, filtered and grouped.

Audit trail

Every site change is recorded in the study's audit log with who made it and when:

ChangeWhat the audit log shows
Site createdCreated · site ID, with the site name in the comment
Site renamedUpdated · site ID, with the old and new name
Site deactivatedDeleted · site ID, with the name it had

To answer "who created this site?", open Audit Logs, filter the Site column to that site ID, and look for its Created entry. Site changes made before this was introduced (September 2026) were not recorded.

Changes to which users are assigned to a site are recorded too, on the user — see Inviting and Managing Users.
